Mistakes I still see on invoices
I manage procurement for a 400-student art and design program. I sign the purchase orders when an instructor asks for more acrylic liquitex paint, and I explain where the supply budget went at the end of every term. Seven years and roughly $180,000 in orders later, I have a purchasing checklist that keeps me from making the same mistake twice. This is that checklist.
It is written for people buying supplies for classrooms, studios, or retail shelves, not for an individual artist grabbing a tube on the way home. If you are that individual artist, some of this will be overkill.
Step 1: Decide which product line goes into which room
Acrylic liquitex paint is not one product. The Basics line behaves differently from the Professional line, and inside the Professional range you have heavy body, soft body, and fluid formulations. They are priced differently and they perform differently. Treating them as interchangeable is the first budget error I see.
In our program, the foundations rooms use Basics sets with a limited palette. Painting majors, however, need Professional heavy body because they build up layers, work on larger surfaces, and rely on pigment density. If I buy professional paint for every introductory table, the budget gets destroyed. If I buy basics only, advanced students run into limitations and redo expensive assignments.
So I segment the order by course level before I compare prices. It takes a little more effort and it does mean maintaining two separate product lists. But it is the clearest way to keep total cost down without compromising the actual teaching.
Step 2: Estimate consumption per student, not per tube
The tube price is the last number I look at. The first number is consumption: how much paint does a 12-week course realistically go through per student, and how much of that actually gets used rather than scraped off a palette or left to dry in a container?
In my first year, I searched for a shortcut. My brother runs a roofing business and can type a few measurements into a roof pitch calculator and know exactly how much material a job needs. I kept looking for the paint-supply equivalent of that tool. There isn't one. No calculator will tell you that the Tuesday evening class uses twice as much gel medium because the instructor likes to experiment. The only input that works is your own order history.
When I audited our 2023 spending, I found roughly 18% of what looked like overspending was not high paint prices; it was product bought for classes that never got to the shelf. Now, before any request goes to a vendor, I run a count of what is already in the supply room. Unit price matters, but only after usage is honest.
Step 3: Put mediums and gesso in the same conversation as paint
A medium order is easy to ignore until the last minute. That is a mistake. Glazing medium, gel medium, and gesso determine how far a tube of paint goes. A little medium can stretch a color across more surface area or create texture without using heavy layers of expensive pigment.
We use Liquitex mediums fairly heavily in the classrooms, and they change the cost math. One thing I learned the hard way: do not buy a full shelf of mediums without a plan. I once walked into storage and found (ugh) four unopened liter bottles of gloss medium from a retired professor's favorite project. They still work, but they sat in inventory for two years. When you calculate the real cost of markers, include the lifecycle: how many projects one marker can cover, how often a nib clogs because a cap was not replaced, and how many get borrowed and never returned. Step 5: Collect safety documentation before you sign the PO
If you buy for schools, this is not optional paperwork. You need to know what is actually in the paint and what claims the manufacturer is allowed to make.
In the United States, the Labeling of Hazardous Art Materials Act (LHAMA) requires art materials to be labeled for chronic health hazards. The quick way to confirm a product has been evaluated is to look for the AP seal from the Art & Creative Materials Institute (ACMI). According to ACMI (acmiart.org), the AP label means the product has been reviewed and meets the requirements of ASTM D-4236. I ask every supplier to include current safety data sheets with the order; that is also where I confirm whether a line is truly cadmium-free.
Cadmium-free does not mean free of all pigment safety considerations, which is why I treat claims like 'nontoxic' or 'eco-friendly' with the same skepticism that FTC guidelines expect from marketing. A named certification means something. A vague adjective on a package does not.
Step 6: Compare delivered cost, not the price on the quote
Earlier this school year I had two distributors quote the same mixed order of Liquitex paint, markers, and mediums. Distributor A came in at $5,480, delivered. Distributor B looked better at $5,120, until freight and handling pushed it to $5,530, and it arrived in two separate shipments that did not line up with the class schedule. The cheaper quote cost $50 more and created a scheduling headache.
That comparison is the core of how I buy. Shipping, minimum order fees, split shipments, and lead time are all costs. So is the hour I spend coordinating a delivery that shows up in pieces. The spreadsheet logic does not care what I am buying; I used it to justify replacing worn studio seating with a proper ergonomic office chair for instructors last year. A good price is useless if stock sits in a cabinet while the classroom runs out and pays rush shipping. At the end of each term, we count what is left and compare it to what was issued. That single change cut our last-minute supply requests by more than a third.
And now the least glamorous note in this checklist. In a studio full of Liquitex paint markers, the question I hear most often is how to get permanent marker out of fabric. I will not pretend there is a miracle cure. Acrylic paint becomes permanent as it cures, so the best window is right after the accident. Wash the stain with cold water and mild dish soap while it is still wet. If the paint has already dried, isopropyl alcohol or an alcohol-based hand sanitizer can sometimes help soften it before laundering. Test on an inconspicuous spot first and keep the fabric away from heat, because heat makes the stain set further. That protocol will not save every shirt, but it will save enough of them.
Mistakes I still see on invoices
- Waiting until the first week of term to order, then paying rush freight. I have done this three times. It never saves money.
- Accepting a single quote even though the ordering process takes the same amount of time for three quotes.
- Buying 'value bundles' that include colors nobody assigned. A 24-color pack sounds cost-effective until 10 of the colors sit unused.
- Forgetting that paint and mediums have a shelf life. Stockpiling to beat a price increase can create more waste than the increase would have cost.
Liquitex does not have to be the expensive line in a school budget. The expensive part is waste: the wrong grade for the classroom, the medium that never gets opened, the rush order that nullifies every discount, the marker stations that bleed more paint into clothing than coursework. Work the checklist, track the real usage, and the budget behaves better. That is not theory; it is what seven years of purchase orders taught me.
